Summer 2021 - Update #1

Things are really coming along here at camp.  Our staff is energized and we are all looking forward to opening on June 14th!  A lot has changed since the Summer of 2020 and even more since the Summer of 2021.  We will be sending you updates between now and June 14th so you and your family are ready for the start of camp!

Operating Hours:  This summer, we are happy to announce that we will be returning to our normal operating hours of 7:00am - 5:30pm! 

Drop Off - Drop off between 7:00 - 8:00am will be reserved for campers whos parents need to get to work early.  Campers who arrive between 7:00 and 8:00am will be required to wear masks during that time and may be mixed with small numbers of campers from other groups.  Drop off for all other campers will take place from 8:00 - 9:00am. 

Pick Up – Regular pick-up will take place from 3:30 - 4:30pm.  Pick up from 4:30 - 5:30pm will be reserved for campers whos parents need to work late.  Campers who are picked up between 4:30 and 5:30pm will be required to wear masks during that time and may be mixed with small numbers of campers from other groups.

Late Arrivals + Early Dismissals -  Both NH and the CDC are still recommending that visitors not enter onto the camp property during operating hours.  As such, we ask that all drop-offs and pick-ups take place during the designated hours.  If an early pick-up is unavoidable, you must call the office to schedule it in advance for one of the following early dismissal times:  12:30pm, 1:30pm, or 2:30pm.

We hope that your school year is off to a good start and that you and your family are well.  We have been keeping extremely busy with meetings, projects, and planning for the Summer of 2021.

Our records show that your family is currently registered for 1 or more weeks for the Summer of 2021.  These are weeks that you selected to have moved forward from the Summer of 2020 to the Summer of 2021 due to the COVID-19 Pandemic.  As a reminder, you have until December 1,  2020 to cancel any of those weeks for a full refund, including your $40 "non-refundable" deposit.  Cancellations received after December 1, 2020 will be subject to our standard cancellation policy.

To view your registered weeks for 2021, please visit our website at www.melodypines.com and click on Parent Log-in.  Registration will open for you to add additional available weeks and/or additional children within your household to your family's registration on February 1, 2021. 

Many have asked: What will the Summer of 2021 at Melody Pines look like?  In all honesty, we don't know.  We remain hopeful that we will be able to return to normal operations, but continue to plan for a modified program as we ran in 2020.  No matter what, we know we will have fun!  Please know that we are remaining actively involved in discussions with health officials, state and local leaders, and camp professionals in regards to safety and operating guidelines for the Summer of 2021 and will keep you posted!

Thank you for choosing Melody Pines in the Summer of 2020!   We know the decision to send your children this summer, was not an easy one, but we are truly thankful you did.  The road leading up to the opening of camp during the COVID-19 pandemic was not an easy one, but the smiles on your children's faces were worth it. Thank you for your kindness, for your support, and for helping to make this summer one we will never forget.  We hope you have a happy and healthy school year and look forward to seeing you in the Summer of 2021!

Opening July 20th!

We are happy to announce that after many, many, many meetings and discussions with state leaders and health officials, we are moving forward with opening Melody Pines for the second half of the summer!  They have given us clarity and direction regarding the current guidelines, and we are looking forward to laughter and smiles at Melody Pines beginning July 20th!  

We have a lot of information to share with you and ask that you please read carefully!   This information is based on guidelines as they stand today.  We do anticipate that there may be further adjustments and changes before the start of camp and over the course of the summer.  We will notify you of any changes to our program prior to implementation.

Hours:   In order to protect against the spread of COVID-19, individuals will be required to stay with the same cohort group throughout the day.  This includes both campers and staff.  As a result, our operating hours will be limited to 8:00 am-4:00 pm in order to comply with state and federal labor laws.  Drop off will take place from 8:00 am-9:00 am.  Pick up will be from 3:00 pm-4:00 pm.

Waiver:   Please understand that even with the steps we are taking to clean, sanitize, and prevent COVID-19 from entering camp and spreading, we cannot guarantee that COVID-19 will not enter the camp, or that your child will not get it.  If you are choosing to send your child to camp in 2020, each parent/guardian must sign a waiver prior to your child/children attending acknowledging this risk.  We will be sending the waiver out this week.

Drop-off and Pick-up:  In accordance with State Guidelines, parents and other visitors will not be permitted onto the camp property between the hours of 8:00 am and 4:00 pm.  As such, we ask that all drop-offs and pick-ups take place during the designated hours.  Parents must remain in their cars during drop-off and pick-up. Campers will be sent directly to their groups upon drop-off.   Camper activities during drop off and pick up may be a little quieter than usual.  Your child may bring a book, coloring book, or quiet activity if they wish.   Please do not send any phones or electronic devices.  

Screening:   All campers and staff will be screened upon arrival.  Individuals with any COVID-19 symptoms, those who report close contact with someone suspected or confirmed with COVID-19, or those reporting travel risk factors will not be allowed into the day camp.  Traveling risk factors include travel within the past 14 days internationally (outside the U.S.), by cruise ship, or domestically (within the U.S.) outside of NH, VT, or ME on public transportation (e.g., bus, train, plane, etc.).   Additionally, staff temperatures will be taken prior to camper arrival.  

Cohort Groups:   Campers will be assigned to a cohort group for the week.  In order to limit the size of cohort groups, grade level groups may be divided.  Each cohort group will stay together throughout the camp day.  Since campers and staff from different cohort groups cannot mix, we will not be able to have our standard afternoon free-choice time.  Cohort groups will have the opportunity to request their afternoon activity areas.  In addition, we will not be able to run our traditional Olympic Week, Carnival Day, or other camp-wide special events.  

Masks:   We have been advised that younger children are not to routinely wear masks at camp as they are more likely to play with or adjust the masks.  We do, however, ask that all campers wear a labeled mask at morning drop-off and during afternoon pick-up when they are more likely to cross paths with others outside of their cohort groups.  Older campers (ages 10+) will be asked to wear masks during the camp day but will be able to remove them for swimming, eating, and for all games when kids can be spread out (we are planning for these activities as much as possible).  Staff members will be asked to wear their masks when social distancing cannot be maintained.  

Cleaning and Sanitizing:  Frequently touched surfaces such as door handles and sinks will be cleaned and sanitized throughout the camp day.  Campers will be asked to wash their hands or use hand sanitizer upon arrival and between activities.  Camp equipment will also be sanitized between group activities.  Equipment that cannot easily be sanitized has been removed from camp.

Activities:   We will be swimming, boating, doing crafts, and playing creative games!  Our counselors have worked hard to put together activities where the kids can stay socially distant but still have fun!  Please understand that we are going to be asking for social distancing, but these are children and it is in their nature to gravitate towards one another.   We cannot guarantee that every child will keep their social distance 100% of the time.  The climbing wall will not be in operation as we cannot adequately sanitize it between use.

Rainy Days:   On rainy days, we ask that you send your child with appropriate rain gear.  In order to avoid having campers congregate in enclosed areas, campers will be staying outdoors.  In the case of thunder, they will be brought under cover and asked to wear their masks.   

Water Bottles:   Drinking fountains will not be in use this summer.  We ask that all campers bring a reusable water bottle that is clearly labeled.   There are sinks available in which to refill them.

Lunches:   Under day camp guidelines, campers belongings are not to touch the belongings of other campers.  Therefore, we will not be refrigerating camper lunches together this summer.  Please include an ice pack in your child’s lunch every day and consider excluding items that may spoil easily.  Campers will also be taking their bags with them from area to area so that belongings do not touch within the locker rooms.  

Snacks:   We will be providing our traditional afternoon popsicle break (Canteen).  Popsicles will be delivered to each cohort group.  Snack shack items will also be available for morning snack.  Campers will order snacks with their group counselors and the snacks will be delivered to them.  We ask that you please refrain from sending large bills as making change within the cohort group will be difficult.  A price list will be sent prior to your child’s start of camp.  

Cancellations:   All cancellations for Weeks 6-10 are due by July 10, 2020.  We understand that there are many factors that will go into each family’s decision as to whether to attend camp this summer.  Please know that whether you choose to send your children this summer or not, you will still be considered a returning family in 2021.  If you are canceling due to the COVID-19 pandemic, please be sure to state that in your cancellation email.  If you wish to have those weeks and their payments rolled to 2021, please let us know.  If you do not wish to roll those weeks forward, we will issue you a full refund, including your deposits.  All other cancellations for vacations, etc. are subject to the $40 non-refundable deposit.   We appreciate your honesty in this process.

Payments:   All payments for Weeks 6-10 in 2020 are due by July 10, 2020.  In order to make your payments, please go to www.melodypines.campbrainregistration.com and sign into your account.  Click on View Details under Summer 2020, not Summer 2021.  Payments for weeks transferred to 2021 are not due until May 15th, 2021.

Payments, Cancellations, Transfers

Sent to camp families June 3

On Sunday, May 31st we announced the cancellation of our first half of the summer:  Weeks 1-5.  We wanted to provide you with some additional information in regards to registrations, cancellations, transfers, and payments:

  • Transfers to 2021:  We are currently working to move all registrations for Weeks 1-5 forward to 2021.  Please be patient, the process of transferring weeks must be done 1 by 1 and will take us several weeks to complete.  Once your child's registration has been successfully transferred to 2021, you will see Summer 2021 appear in your registration account.  If you do not wish for your child's registration to be moved forward to 2021, please let us know.  You have until December 1, 2020 in which to cancel those weeks for a full refund.  
  • Payments:  Your accounts for 2020 and 2021 are separate.  Once transfers for any Weeks 1-5 are complete, your account balances in both 2020 and 2021 will reflect that change.  For now, we ask that you hold off on making additional payments to your account for the Summer of 2020 as well as for the Summer of 2021. The payment deadline for registered weeks in 2020 has been extended to July 10th
  • Cancellations:  Please continue to hold off on any cancellations for Weeks 6-10 in 2020 unless you do not wish for your child to attend those weeks in either 2020 or 2021.  Our cancellation deadline for those weeks has been extended to July 5th.  
  • Waitlists: We will be using our waitlist for Weeks 1-5 from 2020 for Weeks 1-5 in 2021.  Those weeks, however, will not appear in your 2021 registration account as waitlisted.  This will allow us to keep 2020 waitlisted families ahead of families who are waitlisted during the 2021 registration process.
  • Camp Merchandise:  Orders for sweatshirts, towels, and headbands were placed several months back and were paid in full.  Our vendor was closed for the past 2 months due to COVID-19 and orders are behind.  As soon as your orders arrive, we will let you know and we will set up a time for pickup.
